Customer terms of service

Last updated 26 October 2026 · Refund policy

The short version

  • You buy an event pass: Check-in, the Attendee App or both, for a number of guests. Every feature is included, and your team, door staff, exhibitors and sponsors are free.
  • Add guests or the other product any time and pay only the difference, at the same price per guest. Extra guests on the day are billed afterwards at the same price.
  • Hold your event any time within 24 months of buying. Live features run until 30 days after it ends; your reports stay available while your account is open.
  • Your event data is yours. We process it only to run your events, never sell it, and you can export or delete it.

These customer terms ("terms") govern your purchase and use of Confispace products — Confispace Check-in and the Confispace Attendee App, the Confispace client portal at org.confispace.com, and related services (together, the "services"). They form an agreement between the organization you buy for ("you") and the Confispace entity named on your invoice or receipt ("Confispace", "we", "us"). By ticking "I agree" at checkout, or by using the services, you accept these terms on behalf of that organization and confirm you have the authority to do so.

Please also read our refund policy and privacy policy. If your organization has signed a separate written agreement with Confispace (for example an enterprise contract), that agreement takes precedence where it differs from these terms.

1. Your account and team

  • You create your account at checkout or when you are invited. You sign in with a one-time code sent to your email.
  • You decide who joins your organization in the portal and what role they have (owner, admin, billing or viewer). You are responsible for what happens under your account and for keeping your team's email accounts secure.
  • Tell us straight away at contact@confispace.com if you think someone has accessed your account without permission.

2. What you buy

  • An event pass. Each purchase covers one event (including all its sessions and sub-events) for the products you choose: Check-in, the Attendee App, or both.
  • Guests. For Check-in, a guest is a person on your event's guest list, however they were added (imported, registered or added at the door). For the Attendee App, a guest is a person who can join your event in the app. Your own team, door staff, kiosks, exhibitors, sponsors and administrators are not counted and are free.
  • Everything included. There are no feature tiers. Each product includes all of its features for your event.
  • Messages. Check-in includes delivery of each guest's invitation and badge by email and up to two WhatsApp messages per guest, plus up to five emails per guest across both products. Larger messaging campaigns may need a separate arrangement with us.
  • Setup. After payment we prepare your workspace in each product and email you when it is ready.

3. Prices, tax and payment

  • Prices are per guest, per event, as shown at checkout (for example Check-in at $0.25 per guest and the Attendee App at $0.75 per guest; in India ₹20 and ₹60 per guest). Prices exclude taxes.
  • Tax. Buyers in India pay GST at the applicable rate and receive a GST tax invoice from us. Outside India, your purchase may be processed by Paddle.com, which acts as our reseller and merchant of record: Paddle calculates and collects any sales tax or VAT, issues your invoice and handles the payment, and Paddle's buyer terms also apply to that transaction.
  • Payment is taken in advance through our payment providers (currently Razorpay in India and Paddle elsewhere). We never see or store your full card details.
  • Failed or pending payments. Your products are switched on only once your payment is confirmed. If a payment fails, nothing is charged and you can try again from your portal.

4. Changing your order

  • Scaling up. You can add guests, or add the other product, at any time and by any number. You pay only for what you add, at the same price per guest. There are no change fees or penalties.
  • Extra guests on the day. If more guests use the services at your event than you paid for, we will not stop your doors. We bill the extra guests after the event at the same price per guest, payable within 30 days.
  • Lowering a count or cancelling. See our refund policy.

5. How long a purchase lasts

  • You can hold your event any time within 24 months of your first payment for it.
  • Live features (check-in, the event in the app, messaging) stay on until 30 days after your event ends.
  • Your reports and exports stay available in the portal for as long as your account is open. You can delete an event's data at any time, and we delete it when your account is closed (except records we must keep by law, such as invoices).

6. Free pilot events

At our discretion, we may offer agencies, conference organizers, trade-show owners and corporate teams a free pilot of a real upcoming event of up to 300 guests. A pilot is provided as-is, without charge and without the commitments in section 10, and may be withdrawn if it is not used for a real event.

7. Your data

  • It's yours. Guest lists, registrations, check-ins, app activity, leads and other information you or your guests put into the services ("event data") belong to you.
  • We process it for you. We use event data only to provide, secure and support the services for you, as your service provider (processor), and as described in our privacy policy. We never sell personal data. A data processing agreement is available on request.
  • Your responsibilities. You confirm you have the right to give us event data and to contact your guests (including by email and WhatsApp), and that you will meet the privacy and marketing laws that apply to your event.
  • Export and deletion. You can export your event data and ask us to delete it at any time.

8. Acceptable use

You agree not to use the services to send spam or unlawful messages; to upload content that is unlawful, harmful or infringes others' rights; to interfere with or test the security of the services without our written permission; or to resell the services except as an agency running events for your own clients.

9. Our products and your feedback

We own the services, including the software, apps, designs and documentation. We grant you a non-exclusive, non-transferable right to use them for your events while your purchase is valid. If you send us suggestions, we may use them without obligation to you.

10. Our commitments

  • We will provide the services with reasonable skill and care, keep them secure, and support you by email.
  • We aim for the services to be available at all times but cannot guarantee uninterrupted service. Check-in is designed to keep working on phones even without internet. Contracted uptime is available in enterprise agreements.
  • Except as stated in these terms, the services are provided "as is" to the extent the law allows.

11. Liability

  • Nothing in these terms limits liability that cannot be limited by law.
  • Neither of us is liable for indirect or consequential losses, or for lost profits, revenue or goodwill.
  • Our total liability for all claims relating to an event is limited to the amount you paid us for that event.

12. Suspension and ending

  • We may suspend access if you materially breach these terms (for example by sending spam) and do not fix it promptly after we tell you, or if needed to protect the services or others. We will tell you why.
  • You can stop using the services at any time and ask us to close your organization's account from the portal.

13. Changes to these terms

We may update these terms. The version you accepted at checkout applies to that purchase; for later purchases the version shown at that time applies. We will tell you about material changes by email or in the portal.

14. Law and disputes

These terms are governed by the laws of the country where the Confispace entity named on your invoice is registered. We will always try to resolve a concern with you directly first — please write to us.
